No-show client message templates
Use these messages when a client misses an appointment, cancels late, or pushes back on a booking rule. The goal is to protect the schedule without sounding angry or improvising under pressure.
First no-show message
Hi [Name], we missed you for your appointment today. Because this time was reserved for you, the no-show policy applies. To book again, please reply here and I can send the next available times.
Late cancellation reply
Thanks for letting me know. Since this is inside the cancellation window, the late-cancel rule applies. I can help you reschedule after we settle the missed appointment according to the policy.
Deposit follow-up
The deposit held your appointment time and was applied according to the booking policy shown before confirmation. A new deposit may be needed before another appointment is reserved.
Second missed appointment
Because there have now been multiple missed or late-cancelled appointments, future bookings may need prepayment or manual confirmation before the time is held.
Kind exception message
I understand things happen. I can make a one-time exception and move the appointment, but future changes will need to follow the cancellation window so the schedule stays fair.
Rebooking boundary
I would be happy to book you again once the missed appointment is resolved. This keeps appointment times fair for clients who are waiting for open slots.
Keep it factual
Do not debate intent. State the missed appointment, the policy, and the next booking step.
Use the same wording
Match your message to the policy clients saw on the booking page, confirmation, and reminder.
Avoid legal claims
Use operational language. Do not promise that a fee, deposit, or non-refundable rule is enforceable everywhere.
Offer a next step
Give the client a clear path: reply to reschedule, confirm a new deposit, or wait for available times.
