Late-cancel and no-show fees are sensitive because the wording must protect booked time without sounding punitive. Use this as an operational starter, then adapt it to your booking platform and local rules.
Fee wording
Cancellations made with less than 24 hours notice may be charged a late-cancellation fee because the reserved appointment time is difficult to refill at short notice.
Deposit wording
If a deposit was paid, it may be kept for late cancellations or no-shows when the cancellation window is missed and the policy was shown before booking.
Reminder wording
Your appointment is tomorrow at {{appointment_time}}. Please reply today if you need to reschedule so the appointment time can be offered to another client.
