Gym and fitness policy
Gym cancellation policy template
Use this page when a gym, fitness studio, strength facility, or class-based business loses reserved spots to late cancels and no-shows. The best first draft is usually one clear rule for one service: private training, small-group training, a class pack, or a booked assessment.
Class booking rule
Please cancel at least 12 hours before class so another member can take the spot. Late cancels and no-shows may count as a used class from the pack.
Private session rule
Please reschedule private training at least 24 hours before the session. Missed sessions without notice may be deducted from the package balance.
Assessment rule
Intro assessments reserve coach time. If you need to move the appointment, please contact us before the notice window so we can offer the time to another member.
Reminder wording
Your session is confirmed. Reply early if your schedule changes. This helps us keep coach time available and avoid unused reserved spots.
Best fit
Clearer wording fits gyms with booked capacity, limited class spots, coach prep time, class packs, or members who book multiple sessions ahead.
Use caution
Do not add a charge until your membership terms, booking platform, card disclosure, processor rules, and local consumer rules support it.
Start small
Test one service first, such as private training or an intro assessment, before rewriting every membership or class policy.
What to measure
Track last-minute cancels, unused reserved spots, missed private sessions, and whether members say the rule was visible before booking.
