Deposit vs cancellation fee for appointments

Use this page when you know missed appointments are costing money, but you are not sure whether to ask for a deposit, charge a late-cancel fee, use a no-show fee, or keep a card on file. Use a deposit when

The appointment is long, prep-heavy, hard to refill, first-time-client heavy, or scheduled in a peak slot. The rule should say whether the deposit applies to the final service total.

Use a cancellation fee when

The main problem is late notice. State the notice window, the fee trigger, and where clients see the policy before booking.

Use a no-show fee when

Clients miss confirmed appointments without notice. Keep the explanation calm: the time was reserved and could not be offered to another client after the cutoff.

Use card-on-file carefully
