Fitness class cancellation policy template

Use this for group fitness, yoga, Pilates, spin, strength classes, and small-group training where one late cancel can leave a reserved class spot unused. Start with one class type before changing every membership rule.

Class credit rule

Please cancel at least 8 hours before class. Late cancels and no-shows may count as a used class credit because the spot was held for you.

Waitlist release rule

Early cancellations release the spot to the waitlist. If you cannot attend, please cancel early so another member can book.

Small-group training rule

Small-group sessions reserve coach time and limited space. Missed sessions after the notice window may be deducted from the package balance.

Reminder wording

Your class spot is confirmed. If your schedule changes, cancel before the notice window so the spot can go to the waitlist.

Best fit

Studios with limited class capacity, class packs, coach preparation, waitlists, or repeated same-day cancels usually benefit from clearer wording first.

Do not overreach

Do not add automatic charges until membership terms, card disclosure, booking-platform behavior, processor rules, and local consumer rules are checked.
